Imagine a coat with blue tag 101. The guest has the corresponding ticket on their phone, and the staff look for blue 101 on the coat. The hanger can be changed without affecting the connection between the number and the item.

Guests can get ready before reaching the counter

The guest takes or is given a Tapla Tag and holds their phone near the tag or scans the QR code. After entering their phone number, the cloakroom ticket opens in the phone's standard browser. There is no need to download an app or create a guest account.

The ticket can also be saved to Apple Wallet or Google Wallet. This gives the guest one less paper ticket to keep track of during the concert.

Once the tag has been attached to the coat, it is ready to be checked in. If you have chosen to accept payments through Tapla, the guest can also pay on their phone before reaching the counter. Staff check the tag and, where relevant, the payment, receive the coat and place it in the cloakroom.

This preparation can reduce the number of tasks that need to be handled at the counter. To make this work effectively, the tags and instructions should be positioned so guests encounter them before they reach the front of the queue.

Make collection part of your planning

At the end of the concert, the task is to find the correct coat and have it ready for the guest. Tapla's collection request features and screens for staff and guests can be incorporated into this workflow.

A collection request can start the preparation process, while a screen can show which items are ready. This makes it possible to divide the work between employees retrieving coats and employees handing them back to guests.

The setup should match your available space and staffing. If you have a dedicated preparation area, it can be used as an intermediate station. With a smaller cloakroom counter, a simpler workflow may be more suitable.

When the item is collected, the guest's ticket is checked. The coat is returned, the ticket is completed as part of the process, and the tag is collected so it is ready for the next guest.

Blue 101 can be placed in the area marked “Blue 101–200”. This gives even a colleague who did not originally receive the coat a specific place to look. The tag identifies the item, while your cloakroom layout helps staff locate it.

Standard Tapla Tags are available in blue, red, yellow and green. Choose a colour and a series of 100 tags: 001–100, 101–200, 201–300, 301–400 or 401–500. These series describe the available standard product options; they are not a capacity limit for the Tapla system.

If you would like your own design, you can choose Tapla Tags with custom print. By default, numbering starts at 001 and continues upwards. Contact us if you need the numbering to match a particular cloakroom layout or have other specific requirements.

Free cloakroom system with optional payments and analytics

Tapla's software and cloakroom operation are free to use with no monthly subscription. You purchase the physical tags and reuse them from one event to the next.

If you want guests to pay for the cloakroom through Tapla, you can activate a Stripe account. You decide the cloakroom fee. Payment processing fees are separate from the free software.

Certain additional features, such as analytics tools, are locked until a Stripe account is activated. This does not apply to the features used for the day-to-day operation of the cloakroom.

Analytics covering busy periods and different events can provide a better basis for planning staffing levels. This means the experience gained from one concert can be used when preparing for the next.
